How to preflight IT change requests with Nouswise AI

A proposed VPN gateway upgrade has an owner, schedule, impact statement, test note, and communication plan. It lacks rollback steps. Sending it to a change board as “complete” wastes the meeting and risks a decision without a recovery path. This preflight checks a fixed rubric and returns a precise gap list to the author.

The six-field gate

Use this six-field gate as an acceptance card:

  • [ ] Owner named

  • [ ] Schedule and time zone explicit

  • [ ] User impact described

  • [ ] Test evidence linked or quoted

  • [ ] Rollback trigger, owner, and steps present

  • [ ] Communications plan named

Mark each field “present” only when the source ticket contains actual evidence. A fully checked card means ready for manager review, not approved for production.

Why CAB needs evidence before the meeting

NIST SP 800-53 CM-3 describes systematic proposal, justification, implementation, testing, review, and disposition of configuration changes, including the role of change advisory boards. This tutorial implements a narrow completeness check, not the full control or a risk assessment. The business win is fewer basic omissions reaching CAB and a clearer record of what evidence the board actually reviewed.

A preflight with a feedback loop

How to preflight IT change requests with Nouswise AI: workflow-specific diagram

Figure: The rubric gate sends complete packets to CAB review and returns gaps to the author, who can revise and rerun the preflight.

What AI reads and code enforces

AI can read varied prose and locate evidence for a named field even when the ticket format changes. The six-field rubric remains fixed in the prompt and code. A missing rollback plan stays missing; the model must not turn “to follow” into present=true. An author can revise and rerun the same ticket, creating a visible feedback loop before the change manager decides whether it is ready for CAB.

Deterministic code

Human decision

Change manager decides whether the request is ready for CAB

The checklist is fixed in code and in the prompt, which makes the output testable. The model can recognize a schedule or impact statement embedded in prose, but it cannot create missing evidence. Every present value has an evidence span that the reviewer can verify in the original ticket. A ticket with all six fields is merely ready for review, not approved.

Why Nouswise for preflight

We use Nouswise Responses for evidence extraction and a structured checklist. Its output can be inspected item by item, while the fixed rubric and status transition stay in code. This makes Nouswise a fit for preflight assistance rather than a substitute for the board. The NIST AI RMF also emphasizes documented human oversight and testable behavior, which is why the example preserves the reviewer boundary.

Lab setup

You need Python 3.10 or later, the requests package, and a Nouswise API key. The Nouswise quickstart explains where to enable API access and generate a key. In a terminal, install the dependency and set the key:

python3 -m pip install requests
export NW_API_KEY='your-api-key'
python3 -m pip install requests
export NW_API_KEY='your-api-key'
python3 -m pip install requests
export NW_API_KEY='your-api-key'

Use the synthetic input below first. It is small enough to send as request-scoped context, so you can run the example without connecting a production system or creating a Nouswise project. Replace the fixture with an approved export or event only after the test passes.

Use the sample JSON shown below; save it locally if you want to test file-based input.

The change with no rollback

Copy the sample into the script’s EXAMPLE constant. The script includes it already so the first run is reproducible. The example is deliberately small so you can compare every output claim with its source.

Run the preflight

Save the following as demo.py in the directory containing the assets/ folder, then run python3 demo.py. It calls the documented POST /v1/responses endpoint with the standard model and a bearer API key. The code has bounded retries for rate limits and temporary server errors; it does not retry validation errors or unauthorized requests.

The script marks the supplied record as context, a pattern documented in the Responses guide, and asks for JSON using text.format.type=json_schema. The guide says the model attempts to follow the schema, so the script checks required fields and task-specific rules before saving a draft. The review_queue.json file is a local stand-in for your ticketing or approval system. Re-running the same source ID updates one draft, demonstrating basic duplicate prevention.

Interpret the gap list

A successful run should resemble this illustrative output. Model wording can vary; check the structure and the source evidence rather than comparing exact prose.

Try an empty promise of rollback

Run at least these three variants before connecting a live trigger:

  1. A change with no rollback steps must return to the author.

  2. A sentence saying ‘rollback plan to follow’ must not count as a rollback plan.

  3. A change with all six fields should be marked ready for manager review, never automatically approved.

For every failed case, decide whether to ask for missing information, return a draft for human review, or stop the workflow. Our default is to stop when the evidence cannot support the requested answer.

Rerun after author edits

To handle more than one record, export each new item as a JSON file into incoming/. The script accepts NW_INPUT_FILE and updates the review queue using the input’s stable ID:

mkdir -p incoming processed
for file in incoming/*.json; do
  [ -e "$file" ] || continue
  NW_INPUT_FILE="$file" python3 demo.py && mv "$file" processed/
done
mkdir -p incoming processed
for file in incoming/*.json; do
  [ -e "$file" ] || continue
  NW_INPUT_FILE="$file" python3 demo.py && mv "$file" processed/
done
mkdir -p incoming processed
for file in incoming/*.json; do
  [ -e "$file" ] || continue
  NW_INPUT_FILE="$file" python3 demo.py && mv "$file" processed/
done

Run this batch from a scheduler or adapt the same call to a webhook handler. A failed request stays in incoming/ for investigation. When an external system sends the same event twice, the stable source ID prevents two review drafts.

Version the rubric

  1. Version the checklist as a policy artifact. Different change types may need different rubrics, so record which rubric version was applied.

  2. Read the ticket and linked plan attachments from the approved change system. Preserve source links with every extracted evidence span.

  3. Run the preflight when a ticket enters review state. Let the change manager correct the result and capture those corrections for future evaluation.

The API call is one component. Your orchestration layer owns schedules and webhooks, credentials for destination systems, retries after partial failure, and the audit trail for approvals. If you later expose actions through MCP, the Nouswise tools guide documents a require_approval flow. We recommend implementing the approval UI and access checks before enabling consequential actions.

Board-level measures

Measure return-to-author rate, false “complete” marks, CAB minutes spent on missing basics, and emergency changes that bypassed normal preflight. Keep rubric versions in the review record so a later audit can reconstruct which rules applied. Review false-complete marks before celebrating time saved.

Record a baseline for a week or two, then compare the pilot on:

  • Share of change requests returned for missing fields

  • CAB time spent on basic completeness questions

  • False ‘complete’ marks found by reviewers

Bring preflight into the change queue

An ITSM change record can trigger a preflight service when its author marks the request ready. The service sends the record to the Nouswise Responses API, checks the six required fields against the local rubric, and writes a gap list back to the same change ID. Only a corrected and approved version should move to the board agenda. The Nouswise Tools & MCP guide describes an approval flow if a later MCP action moves records between states.

The mock Activity below gives authors a visible place to rerun the check and see feedback. Version the rubric and retain each run’s source record so board reviewers can tell which change version passed.

Give the change board a measurable preflight

Begin with one standard-change template and 30–50 historical or upcoming records. The change manager labels missing rollback, test, impact, and owner details before viewing the Nouswise gap list. Authors see the feedback; the board retains the approval decision.

Use a pass/fail rubric: no mandatory omission marked “complete,” at least 25% fewer requests returned for basic missing information, and at least 20% less board preparation time. Check whether the assistant creates false alarms that make authors do extra work; report those alongside caught omissions. These are pilot targets for the chosen template, not claims about other change classes.

Estimate value from rework cycles avoided and board minutes recovered, net of author review and integration cost. A complete form can still describe a risky change, so risk decisions remain with your established control process. Bring the template, rubric, and three sanitized examples to a change-preflight pilot call; we can turn them into an evaluation set before wiring up status transitions.

FAQ: AI preflight checks for IT change requests

What is an AI change-request preflight?

It is a completeness review before a change reaches the approver or change advisory board. Nouswise reads the change description and identifies whether required evidence, such as impact, testing, rollback, and ownership, is present. Code then applies the fixed checklist and returns gaps for the author to resolve.

Does a preflight result tell us whether the change is safe?

No. This example checks whether the request supplies the information needed for a decision. A well-written request can still describe a risky change. Risk assessment needs service criticality, dependencies, maintenance windows, change history, and accountable human judgment.

Can AI write a rollback plan for a change?

It can draft wording from an approved runbook, but the change owner must verify the steps against the current environment and test them where appropriate. If the request contains no credible rollback path, the preflight should flag that absence rather than invent a plan that appears ready for approval.

How do we prevent the model from approving incomplete changes?

Do not give the preflight step approval authority. Treat its output as a gap list, enforce required fields in code, and leave final approval in the existing change-management system. Store the request version and the returned gaps so a reviewer can see what changed between the first submission and the approved version.

Which changes should be included in the first pilot?

Choose one repeatable class of standard changes with a written rubric and enough historical requests for comparison. Include submissions with vague testing notes, missing owners, and rollback statements that only say “revert if needed.” This bounded sample shows whether the preflight catches omissions without overwhelming authors with false alarms.

How can a change manager measure preflight value?

Track first-pass completeness, number of author revisions, time spent chasing missing evidence, false gap flags, and changes sent back by approvers. Compare a baseline period with the pilot under the same rubric. The goal is a cleaner approval packet, not a larger number of automatically rejected changes.

Start with standard changes

Start with one standard-change template. Get the change manager to sign off on the six fields before expanding the rubric to other change classes.
